Requesting Space

All reservations for any area of the Student Center must be made by contacting the Student Center Scheduling Office. Requests for the use of space in the Student Center should be in writing to the Scheduling Office via a Scheduling Request Form, http://www.keene.edu/forms/form_scheduling.pdf which are available at the Student Center Scheduling Office and Information Desk.

Requests for the use of space will be accepted and confirmed up to one year in advance for internal groups. Priority access for reservations is given to regular college and/or Student Center functions based on the college calendar.

Non-college events may be scheduled during non-academic periods and after the second Monday following the first day of classes in the fall and spring semesters and will be processed on a first-come first served basis.

No event sponsor may transfer its reservation to another organization nor may space reserved for an approved program be used for another purpose than stated on the Reservations Request Form without the approval of the Scheduling Office.

In order to facilitate hosting an event as efficiently as possible the Student Center Scheduling Office requests that all reservation requests for standard meeting rooms be submitted at least one week in advance of the date of the event. Requests for use of the Mabel Brown Room and Mountainview Room should be received at least 2 weeks prior to the date of the event. Requests received with less notice will be accommodated if possible.

Organizations may not reserve more than two rooms for the same date and time unless approved by the Student Center Scheduling Office. Consideration will be given to organizations requiring the use of multiple rooms for conference and/or large events.

To ensure availability of service, the Student Center's Assistant Director for Operations should be notified of specific setup and use requirements at least two weeks prior to the scheduled meeting/event. The Student Center may not be able to accommodate requests for special equipment and setups if such requests are received less than two weeks prior to an event.

All rooms have standard configurations. Should something other than the standard setup be required, an event sponsor must indicate on the Scheduling Request Form the requested setup configuration.

An organization must notify the Student Center Scheduling Office of the cancellation of an event at least five business days prior to the event. If an organization has a pattern of not meeting this requirement, it may lose its right to schedule space in the Student Center.

The Student Center reserves the right to determine the appropriate use of the spaces within the Student Center. If an event scheduled for a space is determined not appropriate to the location, the event may be relocated or denied Student Center space at the discretion of the Assistant Director for Operations of the Student Center.

Weekly meetings may be moved to an alternate location for one time special events. In those instances, event sponsors will be notified at least 48 hours in advance.

The Student Center in conjunction with the Keene State Campus Safety will have complete authority to determine the security needs for a particular event. The Student Center will make all arrangements for the provision of security with the Keene State Campus Safety. All costs for such security will be the responsibility of the event sponsor.

Any request for exceptions to the Student Center policies must be made in writing to the Director of Student Life at least two weeks prior to the date of the event. The director's decision is final.
