Official vs. Unofficial Transcripts A transcript is a record of all credit courses a student has registered for that is updated upon completion of any given semester. Current students can access transcript information via their MyKSC account. The difference between an official and an unofficial transcript is how the information is presented. An official transcript bears the signature of the registrar and the college seal. Students who have attended since 1989 and who have electronic academic records will have official transcripts printed on security paper. Official transcripts sent directly to the student are sent in sealed envelopes with the Registrar's signature across the flap. They should not be opened by the student if the intention is to deliver the document to a third party. Typically, most institutions require that transcripts be sent directly to them from the originating college or university. In this case, the student must supply the name and complete address of the recipient. Unofficial transcripts are marked "Unofficial Transcript" and printed on white paper. If the student is considering the possibility of sharing an unofficial transcript, he or she should verify that the potential recipient is willing to accept an unofficial transcript. Advising Tools Transcripts are documentation of all the courses a student has taken at Keene State College and credits transferred to KSC from other institutions. This information helps to inform students and advisors when trying to choose courses and plan for the timely completion of degree requirements. Transfer Students Transcripts from all previously attended colleges and universities are required by the Admissions Office and should be sent to them as part of your application. Upon acceptance to KSC these transcripts will be evaluated and credits applied to KSC programs per college policies. KSC students seeking advice on choosing a program away from KSC may find an unofficial transcript helpful as a reference. Once an institution has been chosen, you will need to request an official transcript from our Registrar's Office to be sent to that institution's admissions office. Employers Transcripts are used by employers to verify degree information and better understand a candidate's qualifications. If a transcript is requested, it is important to find out if they want an official or unofficial transcript. Graduate Schools Graduate Schools need official transcripts. Some want them sent directly from the former institution. Others require that they be included in the student's application package. In the latter case the student needs to request that the transcript be sent to him/her in a sealed envelope which is sent unopened with the application. Requesting a Transcript All requests for a transcript must be made in writing. Federal law states that the student's signature is required prior to the release of a transcript. In the letter we will need:
A student must be in good financial standing (i.e., no financial holds) to receive an official transcript. Official transcripts cost $2.00 each. There is no charge for an unofficial transcript. There is a limit of 1 unofficial transcript per request. Students can make as many copies as they need of an unofficial transcript. Official transcripts can be sent to any location for which the student supplies the address. If the student wants the transcript sent to him/herself it will be sent in a sealed envelope with the Registrar's signature across the flap. There is a form on the KSC web page that can be printed, filled out, signed and sent to the Registrar's Office. The link for that form is: http://www.keene.edu/registrar/forms/transcriptrequest.pdf We will accept a request to fax a transcript. However, due to concerns about the inability to guarantee the confidentiality of the fax process itself or of the recipient's fax machine, etc. we will require that the student acknowledge this concern and formerly grant the Registrar's Office authorization to fax the information. The required Student Authorization for Transcript Release Via Fax form can be accessed at http://www.keene.edu/registrar/forms/authorize_fax_release.pdf. The fax number is (603)358-2460. Send the request: Registrar's Office If you have other questions, please call 603-358-2316. |
