Draft Mission Statement
The College Archives preserves, maintains, and provides access to institutional records of enduring value as a resource for Keene State College students, staff and faculty, alumni, researchers, and the interested public. In support of the mission of Keene State College, the College Archives is committed to providing access to information about the College’s origins, goals, and programs, including its former incarnations as Keene Normal School and Keene Teachers College.

Draft Authority Statement

The College Archives is the official repository of institutional records of continuing historical, administrative, fiscal, and/or legal value to Keene State College. The College Archives is an integral part of the Mason Library and the College Archivist reports to the Dean of Library. Institutional records are generated or received by the College's administrative and academic offices and are the legal property of Keene State College. Those records identified for inclusion in the College Archives are not to be destroyed without approval of the College Archivist and/or Dean of Library and the originating office of the documents, according to records management policies, in consultation with administrative officers when appropriate.

The College Archives is responsible for the disposition of all institutional records with long-term administrative or research value. The use of and access to these records is determined by federal and state law, where such laws are appropriate, and by College policy, where privacy and/or confidentiality policies are in force. The College Archives is otherwise available for use by students, alumni, faculty and staff, scholarly and personal researchers, and any other interested group.

Draft Preservation Policy

In accordance with the Keene State College Archives mission, the Archives seeks to appraise, collect, arrange, describe, preserve, and provide access to records of historical, cultural, legal, fiscal, and administrative value to Keene State College. It is the policy of the College Archives to engage in preventive preservation activities and, when possible, intervene actively when it is determined that conservation is needed. Activities include: the rehousing of all accessioned records collected by the College Archives into archival quality boxes, folders, or other containers as needed; the simultaneous preservation assessment of record groups and a notation of any preservation issues involved; the ongoing process of regular environmental checks; and the digital capturing of information as appropriate.
