What is ILL?
Interlibrary Loan (ILL) borrows or obtains copies of library materials not found in our local collections for our faculty, staff, and students. We also lend or provide copies of our library materials to other libraries. No library can own everything its users will need, so Interlibrary Loan is an essential service that supports the research and educational needs of library patrons worldwide.
Each ILL request is sent to a string of up to five lending institutions. Each institution has four business days (weekends and holidays excluded) in which to respond to the request. In theory, a request could take up to 31 calendar days to move through the entire string.
Why can't I log in to place or review my requests?
Did you enter your entire last name and barcode number correctly? This is not your Datatel number. You must use the 14-digit number starting with 25079 at the bottom of your ID card. This is the same login you use for off-campus access to library databases.
Have you used ILL Service at Keene State College in the past? If not, we don't have your information in our ClioWeb system.

Who can use ILL at Keene State College?
Current students, faculty (including emeriti), and staff of Keene State College can use Interlibrary Loan. Others, such as alumni, or faculty and students of other colleges, must use the interlibrary services at their current academic institution, or local public library.
Libraries seeking to borrow materials can place requests through OCLC (KNM), NHAIS (KNMM), via fax (603-358-2743), Ariel (158.65.60.120), or e-mail (ill@keene.edu).
What types of things can I get through ILL?
Books and journal articles are the most commonly requested interlibrary loan materials. Audiovisual materials (videos, DVDs, CDs), newspapers, microfilm, and dissertations can be difficult to obtain and requests for these types of items may take longer to fill, have shorter borrowing times, or may be restricted to library use only.
What cannot be obtained through ILL?
- Archival materials
- Rare or valuable materials
- Film rentals
- Reference books
- Materials owned by Keene State College or Keene Public Library (unless noted as missing/lost, at bindery, or on repair)
How soon will I get my requests?
Turnaround time for receipt of most materials is one to two weeks. However, you should allow four weeks from date of submission to final receipt due to problems with availability, verification, or postal delivery. ILL service is not designed for last-minute research needs. Plan ahead!
How can I speed up my Interlibrary Loan request?
- Provide a full citation. If you can only find a partial citation, ask a reference librarian for help. You can also contact the Interlibrary Loan Office for assistance (603-358-2715 or ill@keene.edu).
- Provide verification information (where the citation was found) to the notes field on your request. This may be an index or database entry that helps us to find your request.
- Check the "language" field in EBSCOhost or FirstSearch citations. ILL will hold your requests and contact you before processing requests in foreign languages unless you specify that you need the item in that language in the notes field.
- Thoroughly check the holdings in the Keene-Link catalog. Requests for
items held at Keene State College or Keene Public Library will not be processed.
- Talk to a reference librarian if you see an item is available at Antioch New England Graduate School. Keene State faculty and students can borrow materials from Antioch with a KSC ID.
- Ask for help at the Reference Desk (603 358-2710 or reference@keene.edu). The Interlibrary Loan Supervisor can give you information about the availability of your request. The best way to ensure that your request will be filled is to do your research early.
How long can I keep material borrowed through Interlibrary Loan?
Each lending library has its own lending policies but most allow approximately 4 weeks from the date of receipt. Many libraries allow one renewal if it is requested before the book is due. If a renewal is necessary, use Mason Library's Interlibrary Loan link to view your ILL items, and request the renewal online. This should be done at least a week before the book is due. All interlibrary loan books are subject to immediate recall by the lending library. Photocopies are usually yours to keep.
Why is there not a renewal checkbox on my overdue item?
We cannot renew items that are overdue. This is why it is very important for you to ask for renewals before the item is due.
How many requests can I make?
There is no limit, but during high volume periods we can only promise to process 5 requests per patron per week. If you send more than five requests per week, we might call to ask you to prioritize your requests so that we can process the most important ones first.
How will I know when my Interlibrary Loan material has arrived, and where do I pick up and return my materials?
You will be notified by e-mail when materials arrive. Books can be picked up and returned to the Mason Library Circulation Desk. Most articles can be delivered electronically, and students and faculty should enter a note on the article request form if they do not want that form of delivery when it is available. Articles that cannot be delivered electronically will be mailed to the address you provide.
What is copyright?
The Copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyright material. There is a provision for "fair use" by libraries. A government commission was convened to interpret what "fair use," meant. This interpretation is known as the CONTU guidelines. Keene State College follows the CONTU guidelines. Interlibrary loan may request up to five articles from any recent journal title in a year. After this limit is reached, the library must pay a royalty fee for each additional article.
Will ILL cost me anything?
No, but if your request will cost Mason Library more than $11.00 we will contact you for authorization to proceed.
How is it possible to receive articles electronically?
Many libraries, including Mason Library, can send and receive copies of articles electronically. The articles are photocopied from journals, and then scanned rather than sent through the mail. This means that they can be delivered much more quickly than paper copies. When we receive articles electronically, we can send them through a service called ClioEDelivery or print and mail them to you. Using ClioEDelivery, we send you an e-mail message containing a link to the ILL Web Page. Log in with your last name and barcode number. Click on "See your ILL items and view articles online," to retrieve your article and read it online or print it. Your article will remain available for 2 weeks after notification. To receive articles through ClioEDelivery, you must have Adobe Acrobat, which you can download for free.
How can I view my past requests?
Only your current ILL requests are available online. We retain very limited information about older requests at the ILL Office. You may contact the ILL office (603-358-2715 or ill@keene.edu) at any time.
Why are some requests displayed more than once?
We ask up to 5 libraries to supply each request. If those 5 libraries cannot send the item, we send a new request to 5 more. Each try displays as a separate request.
My ILL request was unfilled - what does that mean?
If 10 libraries fail to supply the item, we consider the request "unfilled." For more information, see "what cannot be obtained through ILL" above.
I think I recently requested more items than I see here. Where are the missing requests?
We haven't processed your request yet, or we haven't loaded new requests into the Clio database. We process requests as soon as we can. If your item is difficult to find, it may take a day or more for the request to appear in ClioWeb.
I have not used Interlibrary Loan before. What do I need to do?
Contact the ILL office ill@keene.edu so your name and barcode number can be entered into the ClioWeb database. You can use the Request without logging in link to submit requests, but to review your requests and to receive articles electronically, your name and barcode must be part of the database. However, your requests will take a day or so to appear, as will the personal information we store for you. Please read our policies before you order so you will know what to expect and what your responsibilities are as a borrower.
How do I change the personal information I see when I make a new request?
The ILL office will make the changes when you email ill@keene.edu to let us know what you would like changed. Changes can take up to 24 hours to display.
I see "log out" links on every page!! Is this important?
Yes! Logging out insures that someone else will not be able to use your ILL account. This is especially important if you are using a public computer. Your session will time out, but logging out is the safest way to ensure your information remains private.
What are cookies? Do I have them enabled?
A cookie is a temporary piece of information that your browser uses to help identify you. If you can log in successfully, cookies are enabled and you have nothing to worry about. The cookie we use is temporary and is deleted from your computer when you log out. This is why it is important to log out. Cookies are usually enabled in your web browser preferences.
