On-campus student will be assigned an individual voice mailbox, which they will keep throughout their multi-year stay at KSC.

  • You record your own personal greetings.
  • You may delete, store, reply to, or forward any message you receive.
  • Your mailbox is password protected.
  • Your voice mailbox number is the same as your five digit extension number if you have a phone that is specific to you.

The Meridian Mail Voice System will guide you with audible prompts whenever you forget. If you need help from the system while in your mailbox, you may press the * (star) key for the current options. You probably won't use all of these features; however, there are two important functions you will need to perform when you log into your voice mailbox for the first time: Change your password and Record your greeting.

Logging Into Your Mailbox

From any phone on campus:

  1. Dial 8-7777 (If the phone has a Message Key, you may press that)
  2. Enter your mailbox number, followed by # key.
  3. Enter your password, followed by the # key.

When you are off-campus:

  1. Dial (603) 358-7777.
  2. Enter your mailbox number, followed by # key.
  3. Enter your password, followed by # key.

Changing Your Password
  1. While logged into Mail, Press 84
  2. Enter a new six-digit password, followed by #.
  3. Enter the new password again, followed by #.
  4. Enter your old password, followed by #.

Your password may be from 4 to 16 numbers or letters on the dial pad, except the characters # and *.
Passwords must be changed every 90 days. You will be prompted.

Recording Greetings
There are three different greetings that you can record: External, Internal and Temporary. You only need to record the External Greeting. The Internal Greeting does not need to be recorded and it is recommended that you don't. If you do record both, the External will be heard by callers from off campus and the Internal will only be heard by callers from on campus. If there is no Internal Greeting recorded, both types of callers will hear the External Greeting. The Temporary Greeting is generally used only when you need a special message for breaks or other extended periods of absence.

External Greeting (mandatory)
  1. While logged into Mail, Press 82
  2. Press 1
  3. Press 5 to record your greeting.
  4. When you are finished with your greeting, press #.
  • To review what you recorded press 2
  • To delete your greeting, press 76

Internal Greeting (optional)
  1. Press 82
  2. Press 2
  3. Press 5 to record your greeting.
  4. When you are finished with your greeting, press #.
  • To review what you recorded, press 2
  • To delete your greeting, press 76
  • Press 4 to return to messages

Temporary Greeting (when appropriate)
To avoid overloading the voice mail system with messages during breaks, users are requested to use their "Temporary" greeting during this period. A suggested greeting and directions follow:

"Hello. This is [your name]. From December 20 to January 25, Keene State College is on Winter Break and I (we) will not be on campus. Please call back after January 25th." (Insert whatever date reflects your plans for the particular break.)

  1. Press 82
  2. Press 3
  3. Press 5 to record your greeting.
  4. When you are finished with your greeting, press #.
  • To review what you recorded press 2
  • Your Temporary Greeting will stay until you delete it, unless you put a time limit on it.
  • Press 4 to return to messages

Before leaving for break, forward your telephone directly to voice mail, using the following steps:

  1. Press the Forward button on your telephone.
  2. Press 8-7777.
  3. Press the Forward button again.

To Delete
  1. Press 82
  2. Press 3
  3. Press 76

You will also need to deactivate the Forward to voice mail, if it was on, by pressing the Forward button once (the light at that button should now be out). The phone will again ring to your desk.

To set a time limit
Follow Steps 1 thru 4 for creating the greeting, then...
  1. Press 9
  2. Enter the number for the month of expiration
  3. Enter the number for the day of expiration
  4. Enter the time of day for expiration
  5. Press 1 for AM and 2 for PM

To Listen to Your Messages
1. Press 2 to play a message.
  • to skip forward, press 3
  • to skip back, press 1
  • to pause, press #
  • to continue, press 2
  • to go to the next message, press 6
  • to go to a previous message, press 4
  • to go to a specific message, press 86, (message number), #.
  • to "play envelope", press 72
2. To delete a message, press 76.
  • Message will delete when you exit your mailbox.
  • You may restore it while still in your mailbox by pressing 76 again.

Replying to a Message

Replying just to the sender
  1. After listening to a message press 71 to reply to the sender.
  2. Press 5 to record your reply.
  3. When you finish recording,press #.
  4. To send the message, press 79.
Replying to all recipients of the message and the sender
  • You may press 72 to hear the list of recipients
  1. After listening to a message press 74 to reply to everyone.
  2. Press 5 to record your reply.
  3. When you finish recording, press #.
  4. To send the message, press 79.

To Forward a Message
  1. After listening to a message, press 73.
  2. Enter the mailbox number and/or distribution list you want to forward the message to, followed by #
  3. If you want to send the message to more than one mailbox, repeat step .
  4. When you are done entering recipients, end by pressing #.
  5. To record an introduction, press 5 and speak.
  6. When you have finished, press #.

  7. To send the message, press 79.

Composing a Message

Enables you to leave messages for someone without calling their extension number.

  1. Log on
  2. Press 75
  3. Enter the mailbox number and/or distribution list you want to compose the message for, followed by # .
  4. If you want to send the message to more than one mailbox, repeat step .
  5. When you are done entering recipients, end by pressing #.
  6. To record an introduction, press 5 and speak.
  7. When you have finished, press #.

  8. To send the message, press 79.

Voice Mail Distribution Lists
  1. While logged into Mail, press 85.
  2. Enter a number from 1 to 9 to identify this list, then press #.
  3. Press 5 to create the list.
  4. Enter mailbox number followed by #.
  5. Repeat step until list is complete and then press # to end the list.

Deleting Distribution Lists
  1. While logged into Mail, press 85
  2. Enter the number for a previously created distribution list (1-9)
  3. Press 76 to delete the list

Tagging Options

When you create messages you can tag them using the Message Options command, to indicate that you want a message handled in a special way.

  • Urgent - An Urgent message is announced when the recipient logs in. In networking systems Urgent messages are sent immediately.
  • Private - if a message is confidential, you can tag it as Private. The recipient of the message tagged private can't forward it.
  • Acknowledge - when you tag a message for Acknowledgement, you receive a notification when each recipient hears your message.
  • Timed Delivery - when you tag a message with Timed Delivery, the message is sent at the date and time you specify.

  1. Before sending your message, press 70.
    • For Urgent delivery, press 1
    • For Standard delivery, press 2.
    • For Economy delivery, press 3.
    • For Private, press 4.
    • For Acknowledgement, press 5.
    • For Timed delivery, press 6.
  2. Press 79 to send the message.

Express Messaging

May be used by mailbox and non-mailbox users. This feature lets you send a message without having to log onto your mailbox and is used for 4xxx mailboxes. Students, use this feature to call Professors who do not have their own phone, but have a 4xxx series number.

  1. Dial the Express Message access number 8-8888 from on campus or 358-8888 from off campus.
  2. Enter the mailbox/extension number of the person for whom you want to leave a message, followed by #.
  3. Leave your message after the tone.

Bypass Greeting

If you are calling another mailbox user and wish to bypass their greeting, press # and you will go directly into their mailbox (unless they have a Temporary Greeting recorded).

Log Off

Press 83.

Note: "Log Off" ensures the ports are free for the next user.
