The ITG Learning Center, on the 2nd floor of Elliot Hall, is a multi-functional training space that is flexible and easily reconfigured for use by different campus training groups. The training facility can accommodate individuals and groups, as well as self-paced hands-on computer training and instructor led training. The room is also equipped for video conferencing. The room contains: • Eno (Smart) board • Instructor's station which contains a PC • Data projector • Laptop cabinet - this contains 16 laptops which will connect to the wireless network and contain our campus standard software. • Video conferencing equipment including multiple cameras and video displays. This room is not available for standard campus meetings. Please schedule your meeting with Central Scheduling at 358-2323. When there is an exciting event happening at Keene State College, your first thought is to share it with the campus community. Your first instinct is to send an e-mail addressed to the Global Address List, also known as the GAL. However, unless your message meets very specific criteria as a “broadcast” e-mail, this vehicle is not your best choice. To share your event information, the ideal distribution list to use is the KSC “_Events” list. You can locate this list in Outlook’s Global Address List and it is identified as “_Events”. This list is ideal because the members of this list have remained subscribed to it and welcome information regarding upcoming events on campus. It should be used in place of campus-wide mail (_GAL) when communicating upcoming events. GAL mailings are reserved for communication that are crisis/urgent announcements, logistics announcements (construction closures, traffic routing), major news (Presidential visit), major policy and procedural changes that must be communicated quickly, financial and administrative deadlines, registration information and academic deadlines or communications from the University System of New Hampshire. This link to the “KSC Guidelines for Broadcast E-mail” will provide you with more information. So, before you use the _GAL to share your event with campus, remember to select _Events instead. August 19, 2010P & Q Drive – Your best friends It’s happened! You just saved the final draft of a document or report you’ve been working on for weeks and your computer just went to sleep – permanently. You call the HelpDesk in a panic and they are able to offer you a loaner until your computer is returned. But what happened to your final report and all of your other data? If you saved your data to your P or Q drive, rest assured that it is there and ready when you or your co-workers need it. By using the KSC file-storage server, you have removed the risk of losing important data that could result in an expensive data recovery cost for your department. July 29, 2010Office Moves or Staffing Changes When you have staffing or office changes in your area, remember to contact the HelpDesk at least one week in advance to be sure your technology needs are in place when you need them. Without advance notice, we will do our best to accommodate your schedule, but we cannot guarantee everything will be available when it’s needed. To request these changes, complete the move form and you will be contacted by the HelpDesk. Also, to be sure our database information is accurate when employees leave, email the HelpDesk when you have staffing changes. We take this opportunity update our account information for our records and yours. It is also vital to keep our E911 database accurate. Please pass this on to anyone in your department for whom it would be appropriate. July 15, 2010IT Group Implementation of Network Access Control system Beginning in July, the IT Group will continue implementing our Network Access Control (NAC) system across all campus wired/wireless networks. Our Network Access Control system requires authentication of people and devices before gaining access to KSC network resources. Appropriate network access controls are critical to providing secure, robust and reliable networks while reducing the risk of security breaches. Last fall, KSC students were required to access KSC resources through the NAC and by this fall we anticipate that all faculty, staff and guests will be using the same process. The implementation will start in July and all academic and administrative buildings will be brought online in a phased approach. The only devices affected by this process are devices that are connected to the KSC network. Items that will not be affected include desk jet printers, non-networked scanners or any other device that may be attached to your computer. July 8, 2010IT Group Maintenance Window To maintain a high level of security and accessibility for KSC systems and services, a series of planned maintenance windows have been defined that allow for routine maintenance work to be completed on KSC servers, systems, and networks. Maintenance windows streamline service disruptions for the campus by having an established time for routine ITG maintenance work during off-hours. Weekly Maintenance Windows During the IT Group planned maintenance windows, you may experience intermittent access while KSC systems are being serviced. When IT Group work will impact critical systems beyond intermittent access, ITG will coordinate work to minimize the service disruption to the campus. Reminders of the ITG maintenance windows times will be communicated to campus on a routine basis throughout the year in Campus News and on our website. New Smartphone Syncing Service The Information Technology Group is excited to offer a smartphone syncing service. This smartphone syncing service will allow you to sync your iPhone or Blackberry device with your KSC email, calendar and contacts, giving you access while you’re on-the-go or out of the office. There is no charge to use the smartphone syncing service. If you are interested in finding out more and/or to enroll in the smartphone syncing service, please fill out a request for smartphone syncing service. After you complete the online enrollment form, the HelpDesk will schedule a time to configure your device and review the smartphone syncing service with you. February, 2010Laptop Security In light of the thefts that have occurred in the Science Center in recent days, I would like to remind faculty and staff that according to the USNH System Access Control Policy and KSC Policies all laptops are required to be locked and secured when left unattended. Please use the lock we provided to you or if you cannot locate your lock, contact the HelpDesk at 358-2532 for a replacement. Be aware that there is no pool of funds to replace lost or stolen computers and therefore replacement costs belong to you, and/or your department, or School. It is important that we try to minimize these incidents by using the necessary security devices provided to you by the IT Group. The project to provide wireless network access in all KSC classrooms is well underway. For the past several months, the Network team in the IT Group (ITG) has been busy planning and engineering the campus WiFi Network. This design phase is now complete and the physical wiring infrastructure phase for classrooms will begin the week of December 13th. We anticipate the completion of all wiring work by the last week in January and will begin placing access points in early February. This phase of the project will continue through April when all classrooms on campus will have wireless network connectivity. December 10, 2010IT Group Conducting Workstation and Printer Inventory Beginning December 13 Beginning December 13 through January 16th, the IT Group will begin taking a physical inventory of all computers and printers on campus. An IT Group staff person and a supervised IT Group student technician will be going into all offices and departmental spaces and taking an inventory of KSC owned computers and network printers. This is a visual inventory and no equipment will be moved or touched during this visit. In February, we will return to address issues we have discovered such as unsecured equipment, missing asset tag information, unsupported equipment, etc. We will communicate with you prior to that date to coordinate a time with you to revisit your office. Physically locking down any workstations or network printers is part of the tighter security requirements of the new System Access Control policy (see section 5.7). Phishing can take place on websites as well as in email. Do you know how to identify a legitimate website from a Phishing website? There are some very specific things to look for before you ever provide personal or financial information on the web. Take this brief web Phishing test from our friends at VeriSign and see if you can spot a real website from a Phishing site. December 2, 2010IT Tech Tip of the Week - Media equipment you'll need for finals It's that time of year when final presentations will be occurring and the need for media equipment will increase dramatically. Did you know that if you teach in a classroom that will require additional media equipment, you can request what you need through the IT Group HelpDesk? Simply complete the media equipment request form. It is important to do it early because there is a limited supply available. You may also be in a building that has a media equipment closet where the piece of equipment you need is already housed. Those closets are located in: the Arts Center, Butterfield Hall, Huntress Hall, Joslin Hall, Media Arts Center, Morrison Hall and Parker Hall. You can view the equipment located in these closets by clicking on the "Media Equipment Closet Schedules" link in Outlook Public Folders. You can reserve the equipment you need right there and then pick it up when you need it. If you don't have a key to that closet, contact the HelpDesk and we'll be happy to provide you with one. Remember to reserve your equipment early to be sure it is available and ready to go when you need it! Also, remind your students before the big day that they should TEST their presentation using the technology in the classroom. This will give them an opportunity to catch any issues or incompatibilities ahead of time. November 18, 2010Tech Tip of the Week:Test Your Presentation It is almost the end of the semester and students are busy working on presentations to share with the class. Please remind them before the big day that they should TEST their presentation in advance using the technology in the classroom. This will give them an opportunity to catch any issues or incompatibilities ahead of time. November 4, 2010Tech Tip of the Week: Don’t forget to use your Outlook Calendar When you are away teaching class or in a meeting, remember to put your classes and appointments on your calendar. While you may remember when it is time to teach your class, others who are trying to schedule an appointment with you may not. So, mark that time on your calendar, so others know exactly when you are available. Also, when you are away from the office for a day or longer, let folks know by using your out-of-office assistant. Simply open Outlook, go to "tools", "Out-of-Office Assistant", select that you are "currently out of the office" and create a reply everyone will receive when they email you. Now they will know you are not in and will be happy to wait until you return. Don't forget to set a temporary voicemail greeting as well. Your bases will be well covered and you can relax and enjoy your time away.
